The Employee Paycode feature in Workforce TNA allows you to assign custom payroll codes, rates and cost centres to individual employees for payroll export purposes.
This feature is especially useful when employees require unique payroll codes within your payroll software. Using custom employee paycodes can help simplify Workforce TNA system setup by reducing the need for multiple Daily Rules, schedules, Leave Types, or Public Holiday settings within your account.
By default, employee hours are calculated against the paycode assigned within their Daily Rule. Using the Employee Paycode feature, you can override the exported payroll code on an employee-by-employee basis without changing the original paycode displayed on timesheets.
Notes:
- The top Pay Rates section displays the employee’s Base Rate of Pay. If timesheets or reports are not displaying dollar values, this field is empty.
- Custom Employee Payroll Code overrides the Payroll Name on Payroll Report and Exports.
- Important: When using custom employee payroll codes, the code entered must exactly match the corresponding payroll code in your payroll system.
- Employees Timesheets and Timesheet reports will continue to display the original paycode name configured within their Daily Rules in Workforce TNA.
- If employees do not require custom paycodes or custom rates, this page can be left blank. In this case, paycode settings are configured within Shift Setup > Paycodes and Leave.
To Configure Employee Payroll Codes, follow these steps:
- Click EMPLOYEES
- Click on the PAYCODES Tab
- Select the plus icon to view the employee's Base Rate of Pay
- Enter the employee's Base Rate of Pay
- Optional - For custom payroll codes: Enter the Employee's Payroll code against the Paycode Name
- Optional - For custom Job codes: Enter the Employee's job code against the Paycode Name
- Optional - For custom pay rates: Enter the Employee's Pay Rate against the Paycode Name
- Click SAVE
