User Roles in Workforce TNA
User Roles allow you to manage what users can access, view, and receive within the Workforce TNA platform. You can assign different levels of permissions for Access, Notifications, and Scheduled Reports—either within a single role or across multiple roles.
User Roles are configured under System Settings > User Roles.
Creating User Roles
They help ensure users only see and interact with the data relevant to their responsibilities, improving security and clarity across your organisation.
Notes:
- A user can be assigned one or more roles.
- Roles can be reused across multiple users.
- Leaving filters (like Departments or Locations) unticked grants access to all.
Types of Access in a User Role:

Access
Defines what the user can view or edit, such as employees, timesheets, or settings. -
Notifications
Based on the Departments and Locations selected in the role, this determines which employee notifications the user receives. -
Scheduled Reports
Filters the employee data shown in scheduled reports by the selected Departments, Locations, and Cost Centres.
Tabs in the User Role Setup:
- Permissions – What the user can do (e.g., edit, approve, view).
- Departments – Which departments the user can access.
- Locations – Which physical or organisational locations the user can access.
- Cost Centres – Which job or project codes the user can view.

Menu Access – Controls access to specific pages or tabs:
- Edit
- View only
- No access
✅ Tip: If a user needs access to all Departments or Locations, leave those tabs completely unticked.
Example:
If a manager needs access to all departments within a specific location, leave the Departments tab unticked and select only the required Location(s).
