The Scheduling feature in Workforce TNA is closely tied to how an employee’s Daily Rules are configured. These rules determine how shifts are pre-filled in the scheduling calendar and how leave and public holidays are applied to timesheets.
How Scheduling Can Prefill Shifts
Scheduling can automatically prefill shifts based on the employee’s assigned Daily Rule. This includes:
Start and Finish Times
Break Deductions
Expected Work Hours
To enable automatic pre-filling of shift start and Finish times:
Click Shift Setup
Click Daily Rules
Select the Daily Rule name
Tick as Expected
Set to Fixed Time
Input defined Start and Finish times (e.g., 09:00 – 17:00)
💡 Expected Flexible Daily Rules with no usual start time or standard leave hours, the system will default to a 9:00–9:00 shift, which indicates that the Daily Rule is expected but lacks those specific settings.
Creating a Blank Scheduling View
If you prefer a blank scheduling calendar (no pre-filled shifts):
Untick the Expected checkbox in the Daily Rule.
⚠️ Important: Disabling the “Expected” setting will also prevent leave requests and public holidays from applying to the employee’s timesheet.
This setup is best suited for casual employees who do not follow a fixed schedule.
Colours for Shifts
Each Daily Rule has the ability to select a custom Background Colour and Text Colour that this daily rule will use
Click Shift Setup.
Click Daily Rules.
Select the Daily Rule name.
Click the colour underneath Background or text colour codes.
Use the colour picker field or RGB codes.
Break Times in Scheduling
Breaks configured in the Daily Rule are automatically deducted from the scheduled shift duration.
To set break times:
Go to Shift Setup > Daily Rules > Break Times Tab
Define the break duration and hours before the break is allowed
Note:
If the shift is less than the hours before break allowed, the break will not deduct from shift.
